Choosing a WhatsApp Business Provider
Before you compare providers
Three quotes, and none of them compare
That is usually where this starts. Different rates, different inclusions, different words for the same thing, and no way to tell which one is right for you.
It is rarely a pricing problem. The brief going out is a list of features, and a feature list cannot be priced consistently. Get the objective right and the shortlist narrows itself, usually to two or three names.
How we scope it
Six questions, asked backwards
We ask why until the answer stops being about WhatsApp. Here is a real one, lightly disguised. A retailer arrived asking for WhatsApp marketing.
What that changes about what you buy
Same business, same budget, completely different shortlist. Most providers can broadcast. Far fewer will read your POS properly, and the ones that will are not the ones that rank first when you search. That is the question worth answering before you take a single sales call. If the message cost itself is what you are weighing, our pricing calculator gives you Meta's real rates with nothing added.
The other half of the problem
The provider list you can see is not the market
Meta publishes a partner showcase. It is a reasonable starting point and a poor shortlist. Choose from it alone and you will not even see most of your options.
That is why a shortlist built by searching gives you the providers with the biggest marketing budgets, not the ones that fit. Knowing who exists outside the obvious list is most of the value of asking someone who places this work every week.
What to settle first
Five answers that decide your shortlist
Bring these to any provider conversation and the quotes become comparable.
Who operates it daily?
The owner, one marketing person, or a staffed desk. A tool built for a contact centre is miserable for one person, and the reverse fails faster.
What fires the message?
A human, or your POS, CRM or booking system. If it is the latter, you are buying an integration, not an inbox.
Marketing or operations?
Promotional and transactional messages differ 7.5x in cost and need different consent. Most briefs conflate them.
Does the app stay on that number?
If your team still answers by hand, you need coexistence, meaning app and API on one number. Not everyone supports it.
Where must the data sit?
Residency and retention. In regulated sectors this eliminates more providers than everything else combined.
Where we fit
We don't sell a platform, and that is the point
UberBrains is the team in the middle. We work out what you actually need and match it to a provider that fits, which means we have nothing to defend when the honest answer is "not that one", or occasionally "not WhatsApp at all".
Tell us the problem rather than the feature. The scoping conversation is free, and it is the part that saves the money.

Frequently Asked Questions
How do I choose a WhatsApp Business Solution Provider?
Settle your objective before you compare features. Who operates it daily, what triggers the messages, whether the traffic is marketing or operational, whether the WhatsApp app stays on the number, and where the data must sit. Those five answers narrow 180 options to about three.
How many WhatsApp providers are there?
Meta's public showcase lists around 180 and states it is not exhaustive. The real number is larger. Gallabox, MTalkz, BhashSMS, Blueticks, HSP, MyOperator, MSG91, 2Factor, Exotel and Kaleyra are all absent from that showcase, and several of them are perfectly capable of running the work, so a shortlist drawn only from the directory misses a good part of the market.
Does it matter which provider I pick if Meta's rates are fixed?
Meta's per-message cost is identical whoever you go through. What varies is the platform fee, what the software can actually do, whether it integrates with your systems, and how fast someone answers when it breaks. The rate is the part that does not vary.
Can I switch provider later?
Yes. A WhatsApp Business Account can be migrated. It is not instant, templates usually need resubmitting, and it is far cheaper to scope it properly at the start than to move once campaigns are live.
